Roles and Responsibilities
1. Provide administrative and sales support to CEO for all business development meetings, presentations, CSA’s, conferences and events. This includes set up and prep for all sales/new business related meetings including, but not limited to:
- Managing CEOs calendar in regards to sales and new business meetings
- Filing out time sheets and expense reports relating to all of CEOs meetings and expenditures
- Communicating with prospects/clients to set up meeting date, time, location, etc
- Identifying/obtaining all meeting details (who, what, when, where, why), objectives and preparation needs
- Investigating all relevant/important background info pertaining to the client, competitors and industry
- Managing the creation of decks and electronic presentations for meetings
- Ensuring CEO has all files and information pertaining to the specific meeting
- Filing materials received at meetings in the appropriate folders (both email and paper)
- Summarizing meeting details for account/server files
- Scheduling internal meetings and facilitating follow-up at the appropriate date/time
- Writing proposals and creating CSA’s when necessary and/or providing all information to account team members to facilitate proposal creation
2. Serve as the information bridge between the prospect, CEO and the Account Director to ensure timely and accurate feedback, follow-up and follow-through (collecting all relevant data) during the sales process and the development of CSA‘s.
- This includes creating a job number in system, facilitating the selection of account team members, creating document folder on server and for CEOs files, facilitating the creation of account email, creating/maintaining email folders on CEOs computer
- Screen materials provided by account team members to ensure they are in line with direction given by CEO
3. Manage Sales & Client Database
- Input/capture all leads into a sales database and maintain accurate client lists by category
- Update contact database and send vCard files to appropriate team members
4. Attend weekly Project Update meetings and provide accurate information for all pending CSA’s and new business prospects in the pipeline.
- Note all follow up that involves CEO and facilitate by any set/desired deadlines
5. Create and maintain diversity supplier applications, all NGLCC & WBENC Certifications and confirmations.
- Manage and facilitate all communications to NGLCC & WBENC members/new members
